Sell job records to AI? First read what your field service software keeps
A service firm's call-outs often sit in a job management system such as ServiceTitan or Jobber as a work order, a dispatch, a quote and an invoice. We read 24 documents from 17 field service vendors, newest on 2026-10-28, and 12 of them keep a right to use customer data once it is aggregated or anonymised.

Each vendor's own published terms were read through estate-fetch and stored whole (sha256 on every row). For every document, four questions were answered from the vendor's own words: who owns the business's data, vendor keeps aggregated or anonymised use, training AI on the business's data, export at exit. Every stated answer carries the sentence it rests on, checked against the stored text; 'not stated' means the document read does not address the question. A vendor with several documents reads 'varies' where they disagree. 17 vendors, 24 documents.

The process
-
Say which trade the jobs are from, which field service system holds them and whether the firm is trading, closing or being sold.
-
We read that vendor's clauses on the board and the record-keeping rules your trade works under.
-
We reply with the route that fits: a licence while the firm keeps trading, a sale of the records by its directors when a solvent firm closes or by the administrator, liquidator or trustee when it cannot pay its debts, or a route agreed with the adviser who sent you.
No field service vendor or buyer pays to appear on this site, and there are no affiliate links. Every answer is how we read a vendor's published document, never advice on the contract your firm signed. Our fee: if a firm licenses or sells its job records to a buyer we introduced, it pays us 12.5% of the deal, with a minimum, when we act as its exclusive agent, or 10%, with a minimum, when its records join a bundle or the pool, agreed in writing first; any fee a buyer pays us is credited back to the firm.
The questions we get
Can a service firm sell its job records to an AI company?
It can license what it owns, and the field service system it runs on shapes that. On this board 9 of 17 vendors say in their terms that the job data stays with the firm, while 12 keep their own right to use it once it is pooled or anonymised. Read your vendor's row before a buyer asks for an export. (Field service software data terms: every row, with its source)
Does my field service software train AI on my jobs?
2 of 17 vendors on the board say they may: Housecall Pro says user data may be used to train its own AI models, and FieldHub may use anonymized customer data for AI training. ServiceTitan's terms of use, quoted on our ServiceTitan page, let it train, tune and improve AI models solely to provide the service to that customer and rule out training for any third party. The other vendors' documents we read say nothing either way. (Field service software data terms: every row, with its source)
How long do I have to get my jobs out when I cancel?
It differs by vendor. Joblogic's agreement offers a copy for download for up to thirty days after the end, if you ask at least thirty days before; Fieldmotion keeps data for 90 days and then deletes it; ServiceTitan exports on request, says fees may apply and need not keep the data past 60 days; Workiz puts the backing up on you and may delete. Export first, then talk to a buyer. (Field service software data terms: every row, with its source)
Who owns the job records of a franchised service business?
Check the franchise agreement before anything else. ServiceTitan's terms say that where an instance is part of a franchise, the franchisor and not the franchisee owns all customer data, unless the franchise agreement says otherwise, and that the franchisor may be given access to it. (Field service software data terms: every row, with its source)
Which records does the law make an HVAC or gas firm keep?
In the US, section 608 records on refrigerant service and disposal are kept for three years; in the UK, a landlord's gas safety record is kept until two further checks have been made and F-gas leak check records for five years. Our record-keeping page lists each rule by trade, from the regulation's own text. (Field service software data terms: every row, with its source)
What does a buyer pay for in a service firm's job history?
The working record, not the customer list. Most of the buyers on our board name job records, work orders or other operating records among what they take, and the ones that state it remove names and contact details before anything reaches an AI lab. A firm still trading licenses its history and keeps it; a closing firm's records are sold by its directors or its insolvency office-holder. ServiceTitan terms of service: who owns your jobs and the AI clause
What the ServiceTitan terms of service say about who owns the jobs a contractor enters, the aggregate data it keeps, AI training and the 60 days after cancelling.
Selling a HVAC business? Price the job history before you sign
Selling a HVAC business means handing over years of service calls in ServiceTitan, Housecall Pro or simPRO. Check who owns them and whether they can be licensed first.
